When a company experiences a merger and acquisition, migrating to new systems can be a tall task, especially for clients with a large and growing workforce that needs to migrate swiftly and efficiently. When a robust workforce needs to incorporate UKG Pro from scratch, it requires ‘all hands-on deck,’ collecting a full team of specialists to ensure a successful implementation. The Challenge:
UKG Merger and Acquisition
A $5 billion company was acquired by a $10 billion company, meaning a client with 50,000 employees across five countries and all 50 states needed help moving employees into UKG Pro. This client needed assistance with system set-up, HR system migration, and payroll and tax support. In this client’s case, a whole team of UKG experts was needed to adequately configure and migrate the entire 50,000-employee workforce’s HR data to UKG Pro systems. This team would need to configure and migrate large swaths of data precisely, set up payroll and processing, ensure tax compliance, and report BI. The other piece of the puzzle would be creating training materials for users to learn UKG Pro going forward, as well as offering hands-on training with end users for lasting self-sufficiency. While all of this is no small undertaking, ALKU has a dedicated UKG Consultant Outreach team solely focused on working with the client to get the perfect candidates selected for the job at hand.
The Plan:
UKG and HR System Experts
The ALKU UKG team started their search, vetting through consultant after consultant while hopping on daily calls with the client to make sure they nailed down the ideal candidates for the project. Working directly with the hiring team of the client, thirteen different positions were identified to the ALKU UKG squad as needing to be filled. Zoom meetings, phone calls, and emails were exchanged regularly with the clients hiring team, providing them with options for each position and aiding in the interview process. With so much personal and sensitive information being configured and migrated to the UKG Pro platform, three UKG System Expert roles were needed to facilitate the migration. Payroll set-up and processing for this client’s large workforce would need to be done carefully and precisely, so despite the new systems, all employees were paid when they were supposed to be. Five UKG Payroll Specialists were identified and eventually added to the team to cover all payroll systems and integrations. With a project of this magnitude spanning a workforce in all 50 states, tax set-up and compliance was a necessity for the client. Four UKG and Tax Experts were added to the team of consultants. To finish things off, one UKG BI Reporting Expert was added to the group.
The Result:
UKG Implementation and Succession
Thirteen consultants were placed, filling all necessary positions to get this daunting merger-induced project underway. After months and months of work, the ‘go-live’ date for UKG Pro and Dimensions was a success, transferring 50,000 employee’s data to the new platform completely. Employee data, payroll, scheduling, and business intelligence systems were set in place that would refine the user experience for the HR team managing everything. All users were also trained to ensure the day-to-day functions for the HR team were streamlined and optimal. This training included creating materials for future new hires, so the continued success of the migration could be guaranteed.
