A commercial facility services company with 20,000+ employees offering a range of services in Canada and the United States to owners and managers of facility types including office buildings, hotels, shopping centers, industrial facilities, healthcare establishments, distribution facilities, airports and other transportation facilities needed assistance with the net-new UKG implementation. With ‘go-lives’ getting pushed further and further, this client was ready to pull their leads off the project and get an expert’s opinion on what pieces of UKG were needed, as well as new contractors to implement it. In this client’s case, they needed ALKU to not only decide who to bring on to this project, but also share the project’s best interests with them. This client would need help implementing the entire UKG HCM Suite, including Core, Payroll, Benefits, Document Manager, Succession, People Assist, Employee Voice, and Talent to their locations across North America. With this in mind, ALKU’s dedicated UKG HCM team got to work with getting the perfect consultant fit for every aspect of the implementation from start to finish.
The Plan:
UKG HCM Experts
The ALKU UKG HCM team began sorting through their expert talent pool while having daily check-ins with the client to make sure that not only were the right contractors provided, but the UKG implementation would fit exactly what the client needed. Eleven different consultants were identified as being required to push this project from dead-in-the-water to a total success. Constant communication between ALKU’s team and the hiring managers made sure they approved of every single candidate and were comfortable with the implementation team that had been built and the project direction.
A UKG Payroll expert for Canada was needed to process payroll for 10,000 employees for their Canadian entities. This client needed support to help run reports and pull data out of UKG Pro, mainly using Cognos BI to do so, so UKG Pro experts were identified. A UKG Pro Payroll and Tax Specialist was required to work with the client through their phased go live/implementation. Having just gone live with a few companies, with a few more on the horizon, they needed internal training and knowledge transfer on complex payroll and tax questions throughout their business hours. That specialist would be there to get on the phone with employees and guide them through any payroll/tax related matters. A UKG Pro Core configuration expert was needed to help answer tickets and support issues that come up with internal employees as they work through their go lives, mainly concerning payroll/tax questions as well as Dimensions questions. UKG Pro GL Mapping Specialist was needed to do their GL Mapping in UKG Pro and troubleshoot, research, and understand what is wrong with their GL Mapping. The client had been struggling with payroll side of their Canadian UKG roll out. They had a payroll team of about 7 with two payroll leads that do not have the Canadian UKG knowledge required. They need a UKG Payroll expert to come in and take over payroll processing and assist the Payroll team with Canadian payroll/tax knowledge transfer. A UKG BI reporting expert was also needed to come in and assist with hands on report creation, manipulation, and adjustments for the HRIS team and business stakeholders.
The Result:
UKG Implementation and Succession
Eleven consultants were placed and ready to get to work mid-implementation and take the project over. By the end, a successful implementation of UKG Pro for all US and Canadian entities was enacted. The entire UKG HCM Suite was fully implemented, guaranteeing a seamless HR experience for all the client’s entities from Payroll to Benefits. It was also ensured that all designated users within the company were properly trained so that these HR teams could be self-sustaining and functional on their own.
